3. Channels of Collection

We collect your information through fair, lawful, and direct methods. This occurs when you:

  • Register details at an open home inspection or a public property auction.
  • Submit a digital inquiry form on our website or email our office.
  • Interact with our listings on online real estate portals like realestate.com.au or Domain.
  • Formally apply to lease, buy, or list a property through our agency.
    We may also receive details from national tenancy databases, credit reporting bodies, or public land registry records.

4. Integration of Third-Party Real Estate Software Platforms

To deliver streamlined, cloud-based real estate operations, your personal data is securely transferred and processed across three core software applications used daily by our agency:

  • Agentbox: This is our central Sales CRM and client database system used to safely manage property appraisals, listings, buyer profiles, and communications.
  • Inspect Real Estate (IRE): This workflow platform is used to coordinate property inspection bookings, manage open home registers, and process rental applications.
  • PropertyMe: This platform serves as our property management and trust accounting software, used to coordinate ongoing tenant billing, landlord reporting, and property management.

All three software platforms utilize advanced encryption protocols, secure cloud servers, and strict internal firewall access control systems to protect your personal details from unauthorised data leakage.

5. How We Use and Share Your Information

We only use your information to facilitate real estate transactions. To do this, we may share essential data with:

  • Property owners, vendors, landlords, buyers, or prospective tenants.
  • Professional trade contractors, building inspectors, and legal conveyancers.
  • Major industry portals (such as realestate.com.au and Domain) for marketing properties.
  • Regulatory, judicial, or law enforcement bodies if mandated under a legally binding court order.
    We strictly do not trade, swap, or sell your private personal records to external third-party marketing providers.

6. Data Security and NSW Retention Regulations

Your personal data is heavily guarded across our encrypted software subscriptions (Agentbox, Inspect Real Estate, and PropertyMe), firewall-protected office computers, and locked physical offices.

In strict alignment with NSW Fair Trading data protection guidance and standard data minimization principles, we do not retain sensitive financial or identity files longer than necessary. If you submit a rental tenancy application through Inspect Real Estate that is unsuccessful, all digital copies of your personal identity files, bank statements, and sensitive references will be permanently destroyed or purged within our systems as soon as that specific property has been successfully leased to completely eliminate your vulnerability to data breaches.

7. Overseas Data Storage

Our primary software partners store data on highly secure servers located within Australia. However, some cloud plugins or global database systems may occasionally route or mirror routine transactional elements through secure overseas data center infrastructures. We actively review our partners to ensure any cross-border handling matches the strict baseline of Australian privacy regulations.

8. Access and Correction Rights

Under the APPs, you have the absolute right to request access to the personal files we maintain about you, or to demand the immediate correction of records that are incorrect, incomplete, or outdated. For security purposes, we will always require you to verify your identity before releasing data or modifying your records.
